During the Mobility
-
It is necessary to upload the Attendance Certificate, signed by the partner institution, in the dedicated step of Mobility Online. The certificate should be uploaded within approximately 7 days from the start of the mobility. The date of the Attendance Certificate’s signature cannot be earlier than the start date of the mobility. Payment cannot be made without the submission of the Attendance Certificate.
-
No, it is not mandatory. However, we recommend getting a signed copy from the partner as an additional assurance of your activities abroad. You can send the signed Learning Agreement via email at a later time.
-
In case of delays in the submission of the Attendance Certificate:
- For delays from 8 to 30 days: there will be no penalty, but the payment of the mobility could be delayed subsequently
- For delays over 30 days: the mobility grant will be cancelled and the mobility will be considered “zero grant”.
-
You can download it from your Mobility Online profile, once you reach the dedicated step.
-
The partner university will need to sign your Attendance Certificate, ask the partner university for more information on the process to follow and to understand which date they will input.
-
The start and end dates of mobility are determined by the partner institution and should indicate the dates during which you have undertaken in-person academic activities at the partner institution.
-
If the partner university’s Attendance certificate includes your details, the start or end date, and a valid dated signature, you can upload the partner university’s form.
-
Every end of the mobility document (including the Transcript of Records and/or Short Evaluation) must be received by the Mobility Unit at least 30 days before the start of the graduation session. The completion of the procedures largely depends on the host university and may not be finalized in time. Therefore, students who intend to graduate shortly after the end of their mobility period are advised to carefully plan their timelines.
-
In order to change the Learning Agreement in Uniweb, click on “New Learning Agreement” and make all the necessary changes before submitting it again. Since there is a limited number of LA modifications allowed on Uniweb, we recommend making any necessary changes in as few attempts as possible. If you are unsure, you can save it as a draft and seek assistance from the Mobility office or the responsible professor through the form here.
Students can modify, after its confirmation, the Learning Agreement to a maximum of 4 times. In general, changes are expected to be made within 4 weeks from the start of the mobility period or from the beginning of the second semester in the case of mobility lasting 9–12 months.
-
Identifying a thesis or internship supervisor is not mandatory at the application stage of the call for Applications, but it is recommended for proper planning of the mobility period. However, the supervisor must be designated before completing the Learning Agreement, before the departure. Students are therefore advised to carefully manage timelines and to proceed as soon as possible, in order to avoid delays during the definitions of the activities that will be carried out abroad.
-
The notes in the Learning Agreement should be used to indicate the name and surname of the Unipd thesis or internship, to include activities required by the Study Program but not present in the student’s transcript, to record foreign activities listed as “out of plan,” or, in cases of courses with excess credits, to specify how they should be recorded, for example as free or out of plan credits. It should be noted that the notes in the Learning Agreement are useful both for the administration and to ensure the correct calculation of credits in special situations, and they can only be added after saving the exam overview.
-
The Learning Agreement is an official document that has to be signed in agreement with the supervisor, but its function is not limited to the signature. It primarily serves as a reference for the inclusion of credits in the study plan. Therefore, in case of doubts or uncertainties, it is important to clarify the information with the international mobility coordinator or the LA coordinator and the Mobility Unit, in order to ensure the proper recognition of credits. Students are also encouraged to consult the Learning Agreement section on the Progetto Ulisse webpage
-
In most cases, our agreements with partner universities are organized on a semester or quarter basis. This means that the number of students we are allowed to send is also limited by the duration of student exchanges. If a student wishes to stay at the partner institution for two semesters, they could potentially occupy the spot reserved for another winning student.
It is essential to request permission to extend your mobility with the form here, but in most cases, extensions may not be possible.
Please also note that the Ulisse scholarship will always cover a maximum of 150 days (5 months).
-
It is not necessary to notify your stay abroad beyond the 5 months if it is necessary to complete the activities of the semester or quarter of exchange. However, any extension beyond one month must still be notified.
-
For students applying for the ESU housing call: all activities must be registered no later than Aug. 10
For students applying for regional scholarships: all activities must be registered no later than September 30
For students who aim at graduating after mobility: see deadline for the registration of exams provided for your graduation session, as pointed by the Student Careers Office: https://www.unipd.it/en/graduation
The Mobility Desk must receive the ToR at least 30 days before the start of the graduation session.
Those who do not fall under the above cases may register activities by 31/12.
The student is responsible for providing documentation on time to meet the deadlines for registration for the purpose of scholarships, housing competition and/or graduation sessions.
The University is in no way responsible for the issuance of Transcript of Records by partner universities. It should be noted that in some countries the documents are issued long after the end of the mobility.
